Smart Source developed a web-based ordering portal for Svea Cater AB and Nordrest that modernizes the provisioning process for the Swedish Armed Forces. The system handles 5,000+ orders per day and has reduced administrative time by 40–50%. FM Portalen is a complex e-commerce solution specialized for military provisioning. The system supports multiple suppliers, automated VAT calculation, POS system integration and real-time reporting. Users can place orders and manage purchase orders directly in the system, for both long-term contracts and ad-hoc needs.
The Swedish Armed Forces' provisioning operations handle thousands of orders daily from commercial kitchens, food centrals and sales points at military installations. Before the portal was built, there was no dedicated system support for this process. Orders were handled manually, contracts and prices were difficult to oversee, and delivery deviations were poorly documented.
The goal was clear: consolidate the entire ordering workflow in one system that provides full traceability, automated invoicing and better control over costs and suppliers.
Smart Source built a web-based order portal that supports the full workflow: from ordering and review to delivery support, deviation handling and reporting. The system is developed in C# / ASP.NET with SQL Server optimized for over 1 million order lines.
The portal integrates with Fortnox via Microdeb API for automated invoice management and Menigo for food catalog, pricing and availability. The POS system is directly connected for real-time payment overview.
The project started in June 2022 and has been continuously developed over 4+ years. It is one of our most extensive engagements, with continuous development, testing and project management.
Nordrest is a listed Swedish restaurant company with over 200 units and approximately 5,000 employees. Operations include restaurant and café services for businesses, hospitals, schools and elderly care.
Microdeb is Sweden's leading provider of payment solutions with approximately 150 million transactions annually. Headquarters are located at Lindholmen Science Park in Gothenburg.
The Swedish Armed Forces is the end user of the system. Orders are placed from commercial kitchens, food centrals and administrative units within Defence Region South and other military installations.
What can be ordered in the system?Provisioning and meals from multiple suppliers, with support for both long-term contracts and ad-hoc orders. The system automatically validates stock levels and delivery times.
Can the system integrate with existing financial systems?Yes. The portal integrates with Fortnox via Microdeb API for automated invoice management. POS system integration for point-of-sale transactions is also included.
How are delivery deviations handled?Deviations are registered directly in the system, linked to the specific order, supplier and time. Automated workflows ensure follow-up, and per-supplier statistics reveal patterns over time.
Does the system support multiple suppliers simultaneously?Yes. The portal is designed to manage multiple suppliers with separate contracts, price lists and delivery terms. Menigo integration provides automatic catalog sync for food products.
Can the system be customized for different roles and permissions?The system features role-based access control with separate permissions for buyers, reviewers/approvers, suppliers and administrators.
What volume can the system handle?The portal handles over 5,000 orders per day with a SQL Server database optimized for over 1 million order lines. The system has been running in production 24/7 since 2023.
Can contracts and prices be tracked?Yes. The portal includes complete contract monitoring with validity periods, price lists per supplier and automatic price updates when contract amendments are made.
