When Varbergs Bostads AB, a municipally owned housing company managing thousands of apartments, needed to replace manual cleaning routines with a digital system, they chose Smart Source. The result – Städadmin – delivers full control, transparency and efficient tracking of all cleaning services across their property portfolio.
Varbergs Bostads AB is a fully municipality-owned housing company managing a large residential portfolio in Varberg, Sweden. The company handles the entire chain – from leasing and property management to maintenance and services.
Cleaning management was a critical but time-consuming part of operations. Scheduling, tracking and follow-up of cleaning services relied on manual processes – paper lists, email and Excel spreadsheets. There was no digital system for registering completed cleaning directly on-site, and all location data was managed without structured links to buildings or contractors.
This workflow created several challenges:
Lack of overview of ongoing and planned cleaning tasks
Difficult to monitor quality and completion in real time
Time-consuming administration for property managers
No centralized data for analysis and reporting
Risk of missed or duplicated assignments
Manual handling of location data with no support for import or structured database models
No user codes or digital identification of maintenance staff
Varbergs Bostads AB needed a digital tool that matched their specific workflows – not a generic facility management system with unnecessary complexity and high license costs.
Smart Source was commissioned to develop Städadmin – a custom-built web application designed specifically for Varbergs Bostads AB's needs.
The project was completed in 2024 with a focus on fast delivery, high usability and a technical platform the housing company was already familiar with.
Backend: C# and ASP.NET – robust and proven technology for business-critical web applications
Database: SQL Server – scalable database management with strong security and a restructured data model optimized for location management with building numbers
QR Code Generation: Integrated QR code pages for quick location identification and on-site cleaning registration
Data Import: CSV-based import of location data for efficient database seeding during deployment
Type: Responsive web application – accessible from desktop, tablet and mobile without separate app installation
Hosting: Deployed in the client's own infrastructure for full data control
We worked closely with the client's IT department and property managers to map workflows and define the right functionality. Through agile development with continuous demos and feedback, we ensured the system matched reality – not just a requirements specification. The database model was restructured during the project to better support the client's actual location hierarchy, including replacing house numbers with building numbers.
Städadmin gives property managers a complete tool for handling the entire cleaning process digitally:
Location Management – Create, edit and search locations with support for building numbers, street addresses and location types. Detail view per location with linked cleaning history and CSV import capability.
QR Code-Based Cleaning Registration – Each location has a unique QR code. Maintenance staff scan the code on-site to register completed cleaning instantly – with a branded confirmation page matching the client's visual identity.
Scheduling and Follow-up – Plan cleaning assignments by property and time period with real-time overview of completed and upcoming tasks.
User Management – Create and manage users with unique user codes (instead of passwords) for easy login by maintenance staff. Confirmation dialogs for deletion and toast notifications on save.
Company Management – Company overview page with links to associated locations. Add new companies and see which locations belong to each contractor.
Centralized Data – All information stored in a SQL Server database for analysis and reporting.
Fully Localized Interface – Date formats, field labels, error messages and pagination fully adapted for Swedish users. Responsive design that works equally well on a tablet on-site as on the office desktop.
